This page describes how to set up an Outlook.com e-mail account to receive and send out e-mails using your domain name for the e-mail address rather than hotmail.com or outlook.com e-mail addresses.

Login to your Hotmail or Outlook.com account
Click in the gearwheel at the top right
Click on "Options"
Click on the link to "Your email accounts"
Click on the "Add a send and receive account" button
Click on the link to "Advanced options"
Fill in the fields highlighted in red
Name
This is your name (e.g. James Bond).
Email address
This is the email address that you want to move emails to your Hotmail/Outlook email address (e.g. James@mi6.gov.uk).
Server address
This should be your domain name prefixed with pop3 (e.g. pop3.mi6.gov.uk). The domain name is usually the part of your email address after the "@".
Port
This must be changed to 110.
Requires a secure connection (SSL)
Ensure that any tick is removed from the box. The box must be blank.
Leave a copy of messages on the server
This should be blank. If there is a tick in this box you may be charged for the disk space used for emails left on a HCI Data Ltd server.
Username
This must be identical to the Email address above (e.g. James@mi6.gov.uk).
Password
This is the password that has been supplied to you. If you supply an incorrect password Outlook will display an error message when you click the "Next" button.
Send emails using Outlook.com's server (recipient may see your Outlook.com address)
There should be spot inside the circle. If not, click on the circle to put a dot inside it. This will prevent you incurring charges for sending emails using HCI Data Ltd servers.
Send emails using your provider's server (recipient will not see your Outlook.com address)
If there is a spot inside the circle you will incur charges for sending emails using HCI Data Ltd servers.
Click the "Next" button
Decide how you want the new emails stored in your Outlook/Hotmail account. We suggest that you keep them in a new folder but the choice is yours. Outlook suggests a folder name based on the domain name. You may wish to change this to something more relevant to yourself. When you are happy with your decision, click the "Save" button.
If you have selected the chargeable "Send emails using your provider's server (recipient will not see your Outlook.com address)" option,
follow the instructions in the email sent to the e-mail address you have set up.
From observations in July 2016 it looks as if Outlook fetches the emails every 30 minutes. Outlook will also put some of the emails into the Junk folder. You will need to review the Junk folder and mark any legitimate emails as "Not junk". This can be done by selecting the legitimate messages and then clicking on the Not junk text in the menu bar.
